Port Pass supplies photo identification cards that are recognised as valid proof of identity by Port of Napier Limited (Napier Port) for the purposes of the Maritime Security Act 2004 (Port Pass ID). Port Pass is a business division of Napier Port.
Set out below are the terms and conditions on which Port Pass will issue a Port Pass ID to you and which govern your use of your Port Pass ID. By submitting your application for a Port Pass ID you agree to be bound by these terms and conditions.
You may apply for a Port Pass ID if:
You must review all information provided in your application before submitting it to ensure that the information is accurate and complete. Port Pass reserves the right to decline any application that contains false, inaccurate or incomplete information.
Following registration on the Port Pass website, you have three (3) months to complete a Port Pass ID application. If your application is not completed within this time, you may be required to submit a new application.
If you are employed by, or contracted to work for, an organisation that has a genuine reason for accessing Napier Port, Port Pass will contact the organisation named in your application form (Nominated Organisation) in order to verify your identity and confirm your status as an employee or contractor of that organisation.
If you have another reason for accessing Napier Port then Port Pass will carry out such checks as are reasonably required in order to verify your identity and your reason for accessing Napier Port.
Your application is conditional on Port Pass verifying your identity, employee / contractor status or other reason for accessing Napier Port (as applicable).
The fee for a Port Pass ID is NZD $50.00 (including GST), payable to Port Pass by your Nominated Organisation or otherwise by the person specified in your application as responsible for payment.
Port Pass aims to process your application within [3] working days of the date that Port Pass receives your completed application form together with payment of the fee. Port Pass will advise you when your card is ready for collection from Napier Port. In order to collect the card, you will need to present the original identity document that accompanied the application.
If you fail to pick up your Port Pass ID within 3 months of being notified that the card is ready then you will need to submit a new application.
Refunds will not be provided after a card is issued, or if you fail to proceed with the application after payment. Including (but not limited to):
You understand that the presentation of a Port Pass ID does not guarantee entry to Napier Port.
When you come on to Napier Port, you must comply with Napier Port’s rules regarding photo identification. It is an offence under the Maritime Security Act 2004 to fail to produce satisfactory proof of identity when in a port security area and when requested by an authorised person or a port facility security officer.
A Port Pass ID is not transferable and can only be used by the person named on the card.
A Port Pass ID will expire five years after its date of issue.

Following cancellation you will need to apply for a replacement card (and the card fee will need to be paid).
You are responsible for safeguarding your Port Pass ID against loss, damage, and theft. Port Pass does not accept liability for lost, stolen or damaged cards.
If your Port Pass ID is lost, stolen or damaged, then you must report this immediately to Napier Port. Port Pass will then cancel the card and you will need to apply for a replacement card (and the card fee will need to be paid).
Damaged or altered cards must be returned to Napier Port.
If you subsequently locate your cancelled Port Pass ID, then you must return it to Napier Port.
Port Pass will treat the information contained in your application form as confidential and will comply with the Privacy Act 1993 in relation to the collection, use and storage of that information. You consent to Port Pass sharing certain information with the Nominated Organisation or other relevant person(s) for the purpose of verifying your identity together with your status as an employee or contractor or reason for accessing Napier Port (as applicable).
You can elect to not provide Port Pass with all the required information via the application form, however Port Pass will then be unable to process your application or provide you with a Port Pass ID.
